## There are four different score-report milestones

First comes the test. Then official scores become available in your ETS account. The getting-scores page says three days for the current standard test and tells you the expected date is shown at the end of the session. The current bulletin gives a separate four-to-eight-day window for TOEFL iBT Australia; do not reuse the standard current-test timeline for that product.

The downloadable PDF is another event. ETS’s dedicated getting-scores page says 24–48 hours after electronic availability, while a score FAQ says one day. Plan around the more cautious dedicated-page wording. The PDF you download is your report, not evidence that a university has already received a direct ETS report.

__ETS published approximate stages, checked 5 October 2026.__
| Milestone | Published timing | What it proves |
| -------------------------- | ----------------------------------------------------- | ----------------------------------- |
| Account scores | Three days for standard current iBT | Official result is available to you |
| PDF download | 24–48 hours after electronic scores on dedicated page | Your report can be downloaded |
| ETS Data Manager recipient | 4–8 business days on sending page | Approximate delivery route window |
| Server-feed recipient | 8–10 business days on sending page | Different recipient delivery method |
| Postal recipient | 10–12 business days plus mailing | Allow postal transit as well |

Finally the receiving institution has to match the delivered score to your application. Its name, date-of-birth and application-record process matters. None of these stages should be described as interchangeable. A delivery estimate also does not guarantee when an admissions portal will change status.

## Ask what the deadline actually requires

Find whether the programme requires a test taken by the deadline, self-reported scores, an uploaded PDF or official scores received directly. These are different obligations. A page saying submit scores can be ambiguous; ask admissions to identify the required evidence and the date by which it must reach the relevant office.

Read the central graduate policy and the programme page together. A university may allow self-reporting for initial review while still requiring official evidence, or a programme may specify a stricter timing rule. Use the exact division and intake in the question. A policy for another school in the same university is not reliable evidence for your application.

Harvard Griffin GSAS’s checked page requires official reports sent to that school by the application deadline and says names and date of birth must match the Applicant Portal. Stanford’s graduate page allows self-reported results for initial review and separately requires official reports. These are examples of distinct workflows, not a universal rule for all universities.

Create one line per application with programme, intake, deadline, deadline time zone, required evidence, recipient code and source URL. If a rule is unresolved, write unresolved rather than filling it with your preferred assumption. Link the uncertainty to an action: ask whether a PDF is sufficient for initial review or confirm the direct-report code.

Our [admissions requirements article](/articles/toefl-university-requirements) is useful for score thresholds, but this page concerns the handoff. Meeting a threshold and getting the acceptable evidence into the application on time are separate tasks.

## Choose a first appointment with reporting room

Use the institution’s own stated deadline and determine its score delivery method if possible. Apply the published ETS approximate window, then add a personal buffer for uncertainty and matching. These buffers are planning choices. ETS does not promise that any arbitrary number of days before the deadline will work for every programme.

For an original example, a programme needs official results by Monday 30 November and confirms electronic receipt. A candidate chooses a first test well before that date, leaving space for the official result, a reporting order, the receiver’s processing and a possible later sitting. They do not choose Friday 27 November merely because account scores usually appear after three days.

Count business-day estimates on the appropriate calendar and account for holidays where they affect the institution or service. A ten-business-day window can span more than two calendar weeks. Do not subtract ten ordinary days in a spreadsheet and label the resulting appointment safe.

Retake planning uses the same chain a second time. ETS’s minimum interval is an eligibility rule, not a reporting buffer. If a second test might be needed, reserve room to see the first official result and improve the blocking skill. See the [retake decision plan](/articles/toefl-retake-decision-plan) for how to decide whether that second appointment has a purpose.

If the deadline is already very close, ask admissions what it will accept while scores are pending. Include your appointment date and the expected release date rather than asking a general can I send it later question. Only the institution can confirm a late-evidence arrangement for that application.

## Use included reports only after checking the recipient

ETS includes up to four recipients selected before the test. The public sending page allows adding or deleting recipients until 10 p.m. local test-centre time on the preceding day. For Home Edition, confirm the corresponding deadline displayed in your account rather than choosing your own interpretation of centre time.

Selecting a recipient also removes eligibility for a Speaking or Writing score review. If that option matters to you, compare it with the cost of later reporting before selecting recipients. See the [review and cancellation guide](/articles/toefl-score-review-cancellation) so the decision is made while it is still available.

Copy institution and department-code instructions from the receiving school’s own page. Harvard Griffin GSAS, for example, publishes ETS code 3451 and department code 99 if required. Stanford graduate admissions publishes institution code 4704 and says the department code does not matter for that receiving route. Those examples should not be transferred to other schools.

After an additional reporting order is placed, the current bulletin says the designated institution cannot be changed or deleted and the order is not refundable. Double-check the receiving division before paying. The full university name alone may be insufficient when several admissions offices exist.

The dedicated global fee page lists US$29 per extra report, while the sending page still says US$25\. Regional charges can differ. Our [fee budget](/articles/toefl-fees-india-budget) flags the discrepancy; confirm the actual order charge rather than assuming the older figure.

## Track delivery without confusing it with matching

Keep a reporting tracker with test date, selected score sitting, recipient, order date, receipt reference and portal status. If MyBest is relevant, keep the reported sitting and the MyBest profile labelled separately. Do not combine section results from several dates in a single self-reported sitting unless the receiving institution explicitly tells you to use a MyBest entry.

__Original tracker fields; these are workflow suggestions.__
| Status | Evidence to retain | What remains |
| ---------------------- | ----------------------------------------------- | ----------------------------------------- |
| Ordered | ETS order receipt and recipient details | Delivery through recipient method |
| Scores available | Official account result and PDF when ready | Recipient may still be waiting |
| Delivered or verified | Relevant official or institutional confirmation | Check application matching |
| Matched to application | Portal status or admissions confirmation | Confirm validity and requirements |
| Unresolved | Specific missing event and support record | Ask the office responsible for that stage |

If the portal remains pending, follow the institution’s published processing and enquiry instructions. Supply your name as registered, date of birth where appropriately requested, application identifier, test date and reporting receipt. Avoid repeated generic messages that omit the facts needed to locate the report.

Distinguish the recipient problem from an ETS release problem. A score not yet in your own account requires ETS follow-up using the appointment details. A score already issued but not matched to a university record needs the relevant reporting and application identifiers. The correct support route depends on which event is missing.

Keep a downloaded report for your records, but do not assume an uploaded copy fulfils a direct-report requirement. A university can accept a PDF for an interim check while still needing official delivery. Record both obligations when that is the confirmed workflow.

## Use the remaining time for a targeted decision

If you have not tested, take topin’s [free TOEFL mock](/toefl/practice-test), scored like test day, to identify the section that needs attention before the first appointment. Treat its bands as preparation estimates. The score-delivery calendar should be based on a real ETS appointment, not a mock completion date.

If you have tested, compare the official profile with all programme requirements before sending more reports. Check overall, section minima, validity window and MyBest policy. A higher report is useful only if it is an accepted report that solves the actual application constraint.

Avoid waiting until the last minute to discover that a report is too old to be sent. ETS validity runs for two years from the test date, and universities can specify their own intake windows. The [expiry planning guide](/articles/toefl-score-validity-application-dates) shows how to maintain those two dates separately.

The finished reporting plan has an accepted test mode, a feasible appointment, exact recipients, clear evidence requirements and a way to confirm matching. Once those are settled, stop reworking the calendar unless a score, deadline or institution policy changes.

## FAQs

Will my university receive scores in three days?

Three days is ETS’s published current standard-test account-release timing. Recipient delivery uses separate approximate business-day windows, and the university still needs to match the report to your application.

How soon can I download the PDF?

The dedicated getting-scores page says 24–48 hours after electronic availability. A FAQ says one day; use the dedicated page’s more cautious range for planning.

Can I change the recipient after paying for an extra report?

The current bulletin says additional reporting orders cannot be changed or deleted after placement and are not refundable. Check the exact receiving office before ordering.

Do I have to use all four included reports?

No. Choose confirmed useful recipients within the deadline. Selecting any recipient prevents a Speaking or Writing review, so consider that trade-off.

What should I send when the application portal says pending?

Follow admissions’ enquiry instructions and include your application identifier, registered name, test date, recipient and reporting receipt. First establish whether the missing stage is release, delivery or matching.
